Field Service & Crews
Your crew reports on WhatsApp. You learn the status when the client calls.
For service, HVAC and maintenance firms: we move intervention reports, quotes and job status out of paper and WhatsApp into a field app, plus automations that do the work for you.
- Intervention report on phone
- Auto-quote
- Live status
- On-site signature + photo
Sound familiar?
Service firms keep everything in their heads, on paper and on WhatsApp — losing time, money and clients to a lack of visibility.
- Intervention reports are handwritten on site, then retyped into Excel in the evening
- Photos, signatures and quotes reach the office over WhatsApp and get lost in chats
- You don't know in real time where each crew is or what status a job has
- The client calls to ask if it's done, and you call the technician to find out
- The quote is written that evening or the next day — sometimes the client already got another offer
- Intervention history is scattered across spreadsheets, paper slips and people's memory
A day in your firm: before vs. after
An illustrative scenario of a service firm with 3 field crews — not a real client, but the pattern we see everywhere.
Before — a day on WhatsApp and paper
8:00 — you assign jobs by phone, each crew jots the address on a slip. 11:30 — an angry client calls: "did anyone show up?". You call the tech, no answer, he's on a ladder. 14:00 — photos from 3 jobs arrive mixed on WhatsApp, no idea which is which. 18:00 — you sit with the pile of slips and copy it all into Excel. 21:00 — you write 4 quotes from memory. Two go out tomorrow — too late.
After — it all flows on its own
8:00 — jobs are already in the app, each crew sees its schedule on the phone. 11:30 — the client got an automatic text: "the technician is on the way". 14:00 — the tech closes the job from his phone: report, photos and the client's signature, attached to the job. 18:00 — the quote went out from the intervention description, same day. Monday morning you get the week's summary by email: how many jobs, what's still open, which quotes got no reply.
What the field chaos costs you — per month
Enter how many jobs you do per week and how many minutes your team spends on reports and quotes. We show you what it costs.
You lose ~56 hours and ~€840/month on redundant manual work.
The audit costs from €500 — you recover the investment within the first month.
Tell us what we could automateWhat we change, concretely
A field app on your crew's phone
The technician sees the schedule, fills the report, adds photos and captures the client's signature straight from the phone — even with no signal. Nothing gets retyped in the evening.
Quotes and requests, without the evening work
Quotes are generated from the intervention description, incoming quote requests by email turn themselves into draft quotes, and the client gets an automatic follow-up if they don't reply.
Live status and a self-informed client
You see in real time which crew is where and each job's status, and the client is automatically notified when the technician is on the way or has closed the job. No more calls to ask.
Control for the owner, without chasing reports
Monday morning you get a week summary by email: jobs closed, what's still open, which quotes got no reply. And the full intervention history is in one searchable place.
What you get, piece by piece
The field app and automations we build for service, HVAC and maintenance firms. We start with what hurts most.
Intervention report on the phone
The technician fills the report straight from the phone, on site — no paper slip, no retyping into Excel at night. Done by the time he leaves the client.
Signature and photo on site
The client's signature and job photos attach straight to the intervention, in the app. No more lost on WhatsApp — you find them anytime in the job history.
Scheduling and live status
You assign jobs from the office, each crew sees its schedule on the phone, and you see in real time what's in progress, closed, or still queued.
Auto-quote from a description
You briefly describe what's needed, and the system builds the quote with labour and materials, ready to send. The quote goes out the same day, not two days later.
Quote requests from email, processed automatically
Incoming quote requests by email are read automatically: address, job type, details — and turned into a draft quote, without you keying them in by hand.
Technical report from field notes
From the technician's short notes you get a clean technical report you can send the client or attach to the job file — no manual writing.
Automatic follow-up after a quote
If a client doesn't reply to a quote within a few days, the system automatically sends a reminder. You stop losing jobs because you forgot to call.
Status notification to the client
The client automatically gets a message when the technician is on the way and when the job is closed. The "did anyone show up?" calls disappear.
Weekly operational summary
Every Monday you get a clear summary by email: jobs done, what's still open, which quotes got no reply. You see the firm without chasing reports.
How we work together
We start with an operational audit. You move to the next step only if it makes sense for your firm.
Operational audit (2 days)
2 days
We look at how your crew and office work, identify where you lose time and money, and deliver a clear report on what to automate first and what it would cost.
€500–990
MVP — first working version (6–8 weeks)
6–8 weeks
We build the field app plus the first automation (usually reports or quotes). You test it with your real crews, on real jobs.
€5.000–12.000
Full implementation
depending on scope
We add the rest of the flows — live status, client notifications, quote follow-up, weekly summary — and integrate with what you already use.
€12.000–30.000
Monthly retainer
We monitor, fix and extend the app and automations as the firm grows and new job types appear.
€300–1.500
How you start
You start with the operational audit — you leave with a clear report on what you're losing and what's worth automating first.
Operational Audit
2 days
A clear report for your service firm: where you lose time in the field and office, what can be automated, and what a field app would cost.
- A conversation about how your crews and office work
- Pinpointing time lost on reports, quotes and status
- Estimate of hours and money saved per month
- Roadmap: what we automate first and an implementation quote
Field App MVP
6–8 weeks
The first working version of the field app plus one automation, tested with your crews on real jobs.
- Intervention report, photo and signature on the phone
- Works even without signal (offline)
- First automation: quotes or reports
- Testing with your real team + training
Full Implementation
All flows, integrated: live status, client notifications, quote follow-up, email quote requests and a weekly summary for the owner.
- Live status of crews and jobs
- Automatic notifications to the client
- Auto-quotes + follow-up + email requests
- Integration with your existing systems
Monthly Retainer
Monitoring, fixes and new flows as the firm grows and new job types appear.
- The app and automations stay up to date
- Fixes and adjustments on request
- New flows as you need them
The audit is the first step. Here's how it can evolve.
Each step is optional — you move forward when it makes sense for your firm.

Frequently asked questions
My crew isn't tech-savvy. Will they manage the app?
Yes. We build the app for technicians, not programmers: a few big buttons, a report filled in a few taps, photo and signature. If they can use WhatsApp, they'll manage from day one.
Does it work in areas with no signal?
Yes. The technician fills the report offline, and the data syncs by itself once there's signal again. You lose nothing if the job is in a basement or out of town.
Why does the audit cost money instead of being free?
Because it delivers something concrete: a report on where you lose time and money, what to automate first and what it would cost. It's a real analysis of your firm, not a sales call — that's why it has a price, and it's yours whether or not we work together afterwards.
Do we need to switch our invoicing software or what we already use?
No. We integrate with what you already have where it makes sense. The goal is to remove paper and WhatsApp from the field, not to upend the rest of your firm.
How long until we see a real difference?
The audit takes 2 days. The first app version plus one automation is working in 6–8 weeks, and the difference in reporting and quotes shows from the first month of field use.
